Your first job, start to finish

The quickest way to learn Zaras is to take one real job all the way through: a customer, a job with a visit, the visit done, an invoice sent and the payment recorded. It takes a few minutes, and each step links to the full article when you want the detail. 1. Add the customer

On the web, choose Create at the top of the sidebar, then Contact; fill in the name and a phone or email and press Save contact. In the Zaras app, open the Contacts tab and press New contact. Manage contacts covers addresses and extra people.

2. Create the job

From the new contact, press New job, or choose CreateJob on the web (New job on the Work tab in the app). Describe the work, then Save job on the web or Create job in the app. A job can also come from an accepted estimate — see Create a job.

3. Schedule a visit

On the job, press Add visit and pick a date and time. Send confirmation emails the customer the appointment. If you are the only member of your workspace the visit is assigned to you; otherwise pick the technician. Details, arrival windows and repeating visits: Schedule a visit.

4. Do the work

In the Zaras app, open the visit from Home or Schedule, press Clock in when you arrive, add photos or a Signature if you need them, and finish with Clock out & complete. On the web the job's visit has Start visit and Complete visit. When every visit is done, the job asks All visits complete — press Complete job. More in Run a visit and Finish a job.

5. Invoice it

On the job, press Create invoice. Check the invoice, then Send invoice to email it to the customer. See Create and send an invoice.

6. Record the payment

When the customer pays, open the invoice and press Record payment. Partial payments, voids and write-offs are in Record a payment and close an invoice; taking card payments through the invoice link is in Online payments.

Who can do this

Each step needs its own capability: Manage contacts, Manage jobs, Manage schedule and Manage invoices. Owners and admins hold all four by default, and so do technicians. If a button is missing for you, ask an owner or admin to grant it to your role.
