When you are the only member of your workspace and have no invitation waiting, Zaras stops showing you tools for a team you do not have. Nothing is switched off for good: the moment you send your first invitation, every team screen comes back. Nothing you have recorded is lost either way.

When a workspace counts as just you

Exactly one member and no pending invitation that has not expired. What you answered about company size when you signed up does not matter, and neither does your role. Sending an invitation makes the workspace a team straight away — your teammate does not have to accept first. Revoking the last pending invitation, or letting it expire, while you are still alone makes it a one-person workspace again.

What changes

  • Navigation — Team Chat reads Notes, the Time & Team section reads Hours, and Timesheets reads My Hours, on the web and in the Zaras app.
  • Notes — the notes on your jobs, estimates, invoices and contacts stay; team channels, pins and unread counts are hidden. Notes stay in your workspace and are never shown to the customer. To start one without opening the record first, go to Notes, press Add a note, pick the job, estimate or invoice, and write.
  • Hours — your time entries are approved as they are recorded and go straight into job costs. There is no approval queue and no Team Hours, and entries carry no Pending or Approved badge. See Track technician hours and approve timesheets.
  • Assigning work — there is no technician picker on a job or visit: a new visit is assigned to you, and so is the sales rep on a new record.
  • Reports — the team report is not shown.
  • Team settings — the page reads Invite your team with the invitation form already open, above a line saying it is just you here for now. Your own row shows your name with a You badge and your role underneath, the way a teammate's row will. Your hourly rate is on your profile, under Your hourly rate.
  • Notifications (Zaras app) — the chat and timesheet notification switches are hidden.

Inviting your first teammate

On Home, the card Working with others? has Invite your team, or open Settings and choose Invite your team. Enter their Email address, pick a Role and press Send invitation. Dismiss hides the card on every device you use.

Once the invitation is sent, team chat, the approval queue, Team Hours, the team report, technician pickers and the full team page all return, and new time entries start as drafts for an approver again. Hours you logged while on your own stay approved. One edge: a visit you completed offline that only syncs after the invitation went out arrives as Pending.
