What to do after the customer decides

Once an estimate is Accepted, turn it into a job or an invoice. If it is Declined or Expired, revise or extend it. Nothing happens on its own: an accepted estimate creates no job, invoice or calendar entry until you ask.
Accepted
The new-job form and its fields are in Create a job; this article covers what the estimate itself offers.
The estimate shows Accepted by client with the date, and Recorded by a teammate when the answer was entered in Zaras rather than on the customer's page. Add-ons the customer chose are folded into the total; the rest sit under Declined add-ons.
- Create job (web) or Convert to job (app) creates a job from the estimate and opens it, ready to schedule. Needs the jobs permission.
- Create invoice (web) or Convert to invoice (app) creates a draft invoice from the estimate and opens it. Needs the invoices permission.
- Once either exists the button becomes View job or View invoice; until then the estimate reads Accepted but no job or invoice created yet. To attach an existing job instead, open More estimate actions and choose Link to job on the web, or Link job in the app.
- In the Zaras app, Capture signature records the customer's signature on your phone. Customers cannot sign on the emailed page.
After acceptance the job owns the schedule: Estimate is accepted; convert to a job to change the schedule.
Declined
The estimate shows Declined by client with the date. A reason the customer typed on their page, or the Notes you added when recording the decision, appears on the timeline under Estimate marked as declined (accepted ones under Estimate marked as accepted). To try again, Create revision confirms Create a revision?, copies the estimate into a new Draft and marks this one Superseded.
Expired
An expired estimate shows This estimate is past its valid-until date. Record a decision, extend it, or send a revision. Those are the three exits:
- Record decision — a late answer still counts. Offered on a Sent estimate whose date ran out, not on one stored as expired; the timeline shows Decision recorded after the estimate expired.
- Extend & resend (Extend & Resend in the app) — opens Extend estimate, where you pick a new Valid until date (Date must be today or later); the estimate is resent in the same step and a sent estimate that had merely run out of time reads as Sent again.
- Create revision — a fresh draft with new pricing, as above.
Superseded
A revised estimate reads This estimate is no longer current., and View latest revision takes you to the newest copy. Superseded estimates can't be edited, sent, decided or converted; do everything on the current revision.
The estimate visit
An on-site appointment scheduled with the estimate appears in the Visit card with Start visit, then Complete visit; Reopen visit and Mark not started undo those steps, and in the app Schedule visit or Reschedule visit changes the date. Completing it creates draft timesheet entries for the assigned technicians. It is an appointment to price the work, not a job visit: the work itself is scheduled on the job you create from the accepted estimate.
Permissions
Everything above needs the estimates permission, plus jobs for Create job and invoices for Create invoice. Owners, admins and technicians hold all three by default; if a button is missing or greyed out, ask an owner or admin to grant it to your role.
