Run a visit in the Zaras app

A technician's day runs from the visit. Open it from Home or Schedule in the Zaras app: it shows the customer, address, instructions and who is assigned, plus a pinned row of actions that changes as the visit moves from Planned to In Progress to Completed.
Before you arrive
On my way texts the customer that you are coming. Zaras does not send it while two-way SMS is not available yet: it opens your phone's own messaging app with the text pre-filled, and you send it. It appears only when the customer has a phone number. Running late belongs to the job rather than the visit, and it is not available yet: it is a text message Zaras would send for you, so it stays hidden in the app while two-way SMS is not available.
Start the work
Clock in starts the visit and the job with it. If another visit on the same job is still running, the button says Complete active visit first. Everything you record while working lives on the job — use View job › from the visit:
- Attachments: Attach files offers Take photo, Choose from library or Choose file. Offline photos queue (Saved offline — will sync when connected); videos and large files need a connection.
- Work & pricing holds the line items; edit the job to change them.
- Add expense records materials, permits or travel with receipts; Paid with my own money marks it reimbursable to you.
- Add time entry logs hours by hand; completing the visit creates draft timesheet entries for everyone assigned automatically.
Signature and finishing
Signature opens Customer Signature: the customer signs with a finger or stylus, or you type their name and choose Use typed name for someone who cannot draw one. Save signature attaches it to the visit; offline the receipt reads Signature saved. Saved offline — will sync when connected.
Clock out & complete asks Complete this visit? and warns that it will log hours for the assigned technicians. Choose Capture signature first (it brings you back afterwards) or Complete. A completed visit cannot be reverted from the app; the office does that on the web.
Taking payment on site
A visit is never invoiced directly. If an invoice already exists for the job, open it from the job's Related invoices and use Record payment. The Record Payment screen takes Amount, Method, Date and Notes (optional), and says whether the invoice will be marked Paid or Partially paid. Offline: Payment saved offline — will sync when connected.
Working offline
Clocking in, completing, cancelling, signing, photos and payments all queue without signal and sync later; a queued action shows the offline sentence instead of a green tick. Reopening a completed visit or moving it back to planned needs signal, otherwise you see This action needs a connection.
Who can do this
Clocking in and out, the signature and cancelling need the calendar permission; recording a payment needs the invoices permission. Owners, admins and technicians hold both by default; if a button is missing, ask an owner or admin to grant it to your role.
